The Leap · For photographers who are good at the photography and drowning in the rest

The team you couldn't afford to hire.

A data analyst who reads your numbers. A content creator who plans your month. An executive assistant who holds the to-do list so your head doesn't have to. For most of us that's three salaries we will never pay. So this November, over four live calls, you hire all three inside Claude. Each one is built from your own brand book, your own numbers and your own stories, so it's bespoke to your business and nobody else's. And you run them. I'll show you exactly how I run mine.

You make the photos. You run the business. Your AI admin team does the legwork.

What mine do for me, every week

On the first Monday of the month I make a cup of coffee and drop five files into Claude.

Website, ads, Instagram, bookings and bank. My data analyst reads them against my own baselines and comes back with a one-page report and three things to do. It's the reason I know where my clients are actually coming from instead of guessing. Most of us have an instinct about where our clients come from in general. Knowing in real time, this month, is a different thing. I know where my clients are coming from, and I know where my business is going.

My content creator takes that report and plans the month, then the week, from what worked and what didn't. It drafts from my own stories and my own words. I still decide what goes out, and I still write it.

And since October, the newest hire: an executive assistant that holds my to-do list, plans my week against my calendar and runs a morning conference on weekdays, the way the newsroom I came from did.

These are the three team members you hire in November. Not a demo built for a course. The three running my business right now, and I'll show you all of it, including the bits I'm still tweaking.

I built a business so I could take the photos. Then the business ate the evenings.

When I left journalism at 34 it was so the work would fit around two small children. And the photography did. It's the rest that didn't: the numbers I never looked at, the posting I did on instinct, the list that lived in my head and woke me at three in the morning. A proper business has people for that. A photographer working from the kitchen table has herself.

I looked at hiring help, more than once. I did the sums. I shut the laptop.

So I hired the team I couldn't afford. Just not people.

They're three Projects inside Claude, each with a job description, a memory and a standing set of instructions about my business. They're built from my brand book, so they start from me rather than from some average photographer. The analyst came first, then the content creator, then, this October, the assistant. Three jobs off my plate, and I'm still the one in charge of all of it.

How it works

Four weeks. One call a week. One hire at a time.

  1. Buy in November, build when it suits you. Sales close on Friday 13 November. Join the calls live and build along as the weeks run, or don't. Every call is recorded and up the same day, and the modules are there for you to do at your leisure, for as long as the course is live. There's no time limit on building your team, and nobody is asking you to install one in the Christmas run-up.
  2. Watch me run it, then watch me build it. Each call opens with last week's questions answered in a batch. Then this week's team member does real work for my business, on screen. Then I build it, once, at pace, so you see every step. About an hour, on Tuesdays from 12:30 to 1:30pm UK time: 17 and 24 November, 1 and 8 December.
  3. Build yours between calls. The Podia module for each team member opens on the day of its call. Each one is an afternoon's work from the module and the recording, in your own Claude, from your own brand book. Questions go in the thread and get answered on the next call.
Everything inside

Inside Build Your AI Admin Team

  • Week 1 · Hire your data analystTuesday 17 November · Hire Your Data Analyst: Know what is actually making you moneyAn analyst that reads your own numbers. You come out with its instructions, your data schedule, your first-load brief and your one-page monthly report format, written for your business by the Analyst Builder, and your first monthly report booked in the calendar.
  • Week 2 · Hire your content creatorTuesday 24 November · Your Cracking Content Creator: Know what to post, and whenA content creator that plans your month and then your week from what your analyst found, and drafts from your own words and stories. You decide what to post and you write it. Your content creator plans and does the legwork.
  • Week 3 · Hire your executive assistantTuesday 1 December · Hire Your Executive Assistant: Get the to-do list out of your headAn executive assistant that holds your running to-do list and plans your week against your calendar, so you update it by talking to Claude and stop carrying the list in your head.
  • Week 4 · The team working togetherTuesday 8 December · No new buildHow the three pass work between them: the analyst's report feeding the content creator, the assistant keeping the rhythm. My own weekly routine, start to finish, and your open questions.

Also included (nothing extra to buy)

  • The three courses beneath the calls. Hire Your Data Analyst (£149 on its own), Your Cracking Content Creator (£149 on its own) and Hire Your Executive Assistant (£45 on its own), each opening on the day of its call and yours to keep.
  • The recordings, up the same day as each call.
  • A questions thread for the four weeks, answered on the next call.
  • The Analyst Builder, the guided interview that sets up your analyst and writes its working documents for your business.

Bought separately, the three courses come to £343. Taught together, live, with me on the call each week: £297.

Everything runs inside Claude, the one AI tool I actually use, not a scattergun of apps you'll try once and abandon. It works on Claude's free plan. You don't need to pay a penny to start, and the paid plan buys you longer sittings, not different results.

If this sounds familiar
  • You've got a year of numbers in the bank and you've never once read them.
  • You post when you remember, and you couldn't say what any of it did.
  • Your to-do list is in three places, and one of them is your head.
  • You've tried AI and it wrote like everyone else's, because nobody ever told it who you are.
  • You've looked at hiring help, done the sums and shut the laptop.

The fix isn't more hours. It's a team that starts from you.

Why a team, and why from your brand book

Paste a question into a chat and it's gone when the chat is. You'd re-explain your business every time and get answers written for some average photographer. Build each team member in a Project, from your brand book, and it keeps your baselines, your voice and your rules, so every report, every plan and every draft starts from your business. That's why a brand book is the prerequisite for this course, no exceptions: either you already have your own brand book installed in Claude, or you've built one with me in Build Your Brand Book. Without it the team will still run, but it won't run anywhere near as well as it's supposed to, because it won't know who it's working for.

And it will be confidently wrong sometimes. Early on, my analyst found what looked like a hidden revenue stream worth a big chunk of my turnover. I checked it against my invoices and it collapsed into double-counted bookings. The team gets better the longer it's at the job, because you keep telling it things, and there's always a learning phase of tweaking after the build. You stay the editor-in-chief. That's a job you keep.

This team is also built inside my January cohort, Finally Found and Actually Booked, which is a much bigger thing: twelve weeks on your whole business and the whole of your marketing, building on what's brilliant and fixing what's broken in your funnels, with me alongside you. The AI admin team is one part of it. This course is that part, on its own, for anyone who didn't get a place in January or who simply wants the team.

Is this for you?

For the photographer who's been at this a while and is short on time.

You don't have to have been at this for years. Six months in or six years in, what you need is a steady stream of paying clients, a website collecting data and marketing channels already running, because that's what your team works on. You've got a brand book installed in Claude, or you've built one with me, and you've seen what Claude does once it knows who you are. What you want now is the team. Families or weddings, newborns or headshots, dogs or brands. A big city or a village, the UK or anywhere else. Your three are built from your records, your stories and your calendar, so they're bespoke to your business and fit nobody else's.

It isn't a copy of my setup. A copy of my team would fit your business no better than my prices would. You build your own three, and once you've built three you know how a team member is built, so you can add the ones your business needs and leave out the ones it doesn't.

Not there yet? If you're just starting out in business and the clients aren't flowing yet, have a look at Launch Ready first; you'd be building a team with nothing to work on. And if you have the clients but not the brand book, start with Build Your Brand Book. Every team member works from it, so you need it for the AI Admin team to work at their best.

The newest hire

I named it The Diary.

In every newsroom I worked in there was a forward-planning desk called the diary, and it knew what was happening next week before anyone else did. In October I built myself one. It holds my running to-do list in Todoist's free plan, which I update by talking to Claude and only open to look at. It plans my week against my Google Calendar. On weekdays it runs a morning conference, then checks in twice a day.

It's the newest member of my team, and I'm still training it, which is exactly why I'm teaching it this month: you'll see how a team member learns your week, your rhythm and your priorities as you go. It knows everything that's happening in my week, and the list isn't in my head any more. Yours will learn your week, because you're the one training it.

Before you ask

Great questions, honest answers

What is Build Your AI Admin Team?

Build Your AI Admin Team is a four-week live course for photographers, taught by Kirsty Hamilton, a London photographer and former journalist. Over four live calls, one a week on Tuesdays 17 and 24 November and 1 and 8 December 2026, you hire the three members of your own AI admin team inside Claude: a data analyst, a content creator and an executive assistant, each built from your own brand book, numbers and stories. It includes the three self-paced courses beneath the calls, Hire Your Data Analyst, Your Cracking Content Creator and Hire Your Executive Assistant, the recordings and a questions thread, with access for as long as the course is live. Build Your Brand Book is the prerequisite. It costs £297.

Do I need to have finished my brand book?

Yes. A brand book is the prerequisite for this course: either your own brand book already installed in Claude, or the one you build with me in Build Your Brand Book. Every team member works from it, and without it they won't run anywhere near as well as they should. If you're finishing yours, you've got time: the first call is on Tuesday 17 November and the recording waits. If you haven't started, Build Your Brand Book comes first, and what you pay for it comes off the price of this.

I already bought Build Your Brand Book. Do I get money off?

Yes. What you paid for your brand book comes off the price of this course, as a discount code that's emailed to you. Use it at the Podia checkout and the price drops before you pay.

When are the calls, and do I have to attend live?

One call a week, about an hour, on Tuesdays from 12:30 to 1:30pm UK time: 17 and 24 November, 1 and 8 December 2026. You don't have to be there live. Live gets you the catch-up and your questions answered that week; the recording, up the same day, gets you everything else.

I'm flat out until Christmas. Is this a bad time?

You buy in November and build whenever suits you. Every call is recorded and up the same day, the modules are there for you to do at your leisure for as long as the course is live, and nobody is asking you to install an AI team in the Christmas run-up. Plenty of people will watch the calls in December and build in January, and that's fine by me.

Do I need a paid Claude plan?

No. Everything runs inside Claude, and it works on Claude's free plan. You don't need to pay a penny to start, and the paid plan buys you longer sittings, not different results. I'll show you what's different on the free plan so nothing catches you out.

Who is the course for?

Photographers with a steady stream of paying clients, a website collecting data and marketing channels already running, however long they've been in business, who have a brand book installed in Claude (their own, or the one built in Build Your Brand Book) and want the team without a twelve-week programme around it. Whatever you shoot and wherever you are: families or weddings, newborns or headshots, dogs or brands, a big city or a village, the UK or anywhere else. If you're just starting out and the clients aren't flowing yet, have a look at Launch Ready first.

Is this a copy of your setup?

No. You build your own three, from your own brand book, numbers and stories, so they fit your business. A copy of my team would fit your business no better than my prices would. And once you've built three, you know how a team member is built, so you can add others your business needs or leave out the ones it doesn't.

Will the content creator write my posts for me?

No, and that's deliberate. Your content creator plans your month and your week from what your analyst found, and drafts from your own words and stories, so you always know what to post and when. You decide what goes out, and you write it. It does the legwork. You stay the author.

What do I need?

Claude (the free plan is enough to start), your brand book installed, and for your analyst, whatever records you already have: bank statements, invoices and your booking history. The course builds from the systems you actually use. If you haven't switched on Search Console or Google Analytics yet, that's normal, and it's covered.

How much time does it take?

About an hour a week for the calls, live or recorded, over four weeks. Then each team member is an afternoon's work from the module and the recording, done when it suits you. After that your analyst is ten minutes a month, your content creator is a planning session a week, and your assistant is a conversation each morning.

Can I trust what an AI tells me about my business?

Not blindly, and the course teaches you not to. Your analyst will sometimes be confidently wrong, and the first time it hands you an exciting number is exactly when you check it twice. You stay the editor-in-chief. The team does the grunt work; you decide what's true.

Can I buy just one team member?

Not in November. The live run is the whole team, taught in order, because the three work together: the analyst's report feeds the content creator, and the assistant keeps the rhythm. On their own the three courses are £149, £149 and £45; taught together, live, it's £297.

What's included?

Four live calls, one a week, every one recorded and up the same day. The three self-paced courses beneath them: Hire Your Data Analyst, Your Cracking Content Creator and Hire Your Executive Assistant, each opening on the day of its call. The Analyst Builder, the guided interview that writes your analyst's working documents for your business. A questions thread for the four weeks, answered on the next call. And the fourth call, on how the three work together, with my own weekly routine start to finish.

What happens after the four weeks?

You keep the recordings and the modules. Your three team members keep working, and they get better the longer they're at the job, because you keep giving them information. There's always a learning phase of tweaking after the build, and the fourth call is where we go through it.

How long do I have access?

For as long as the course is live, with every update included. I don't promise lifetime access on anything, because I've been promised it myself and watched courses vanish, and because the AI tools change fast enough that a course frozen in time isn't worth much. I'd rather keep this one current and give you the updated version each time.

Will this work outside London, or outside the UK?

Yes. Nothing in the method depends on where you are or what you shoot. Each team member is built from your own brand book and your own records, so it learns your seasons, your clients and your channels. My examples come from my London photography business, but the method has no postcode. The calls are at UK lunchtime, and the recordings are up the same day for every other time zone.

What's the cohort, and do I need to do that as well?

Finally Found and Actually Booked is my twelve-week live programme for photographers, starting in January 2027, in a small group, by application. It's a much bigger thing than this: a comprehensive look at your whole business and the whole of your marketing, building on what's brilliant and fixing what's broken in your funnels, with me alongside you throughout. The AI admin team is built inside it, as one part of it. Build Your AI Admin Team is that part on its own, for anyone who didn't get a place or who simply wants the team. You don't need the cohort to get the value from this.

Can I get a refund?

It's a digital course with instant access to the modules as they open, so once you're in I can't refund it, which is the same on every Podia course. That's why the who-it's-for section is honest about who should wait. If something's gone wrong with your access, email me and I'll sort it.

Who's teaching you

Hi, I'm Kirsty

I'm a London lifestyle photographer, and before that I spent fifteen years as a journalist, the last five and a half of them as Managing Editor of Metro's digital editions, running a night desk where nothing went out that hadn't been checked. That's the habit my AI admin team is built around: it does the legwork, I check it, I decide. Honest business education for self-made photographers. Everything I teach, I've tested myself.

Where this road goes

Imagine the first Monday in January

You make a cup of tea. Five files go into Claude, and ten minutes later your analyst hands you one page: what's up, what's down, and three things to do this month. Not thirty. Three.

Your content creator has already read it. The month is planned, this week is planned, and the drafts start from your words, so Tuesday night at nine o'clock there's something to post and something left in the tank.

And when you sit down with the tea, your assistant has already asked how the week looks, moved the thing that can wait, and reminded you about the one that can't. The list isn't in your head any more. It's in the diary, where it belongs.

Then you go and take the photos.

That's where this road goes. Build Your AI Admin Team is where it starts.
